Inbound Shipment & Fulfilment Compliance Policy

Effective Date: 25/11/2025

This policy applies to all WarehouseAddress services and subscription plans, including virtual address, mail handling, parcel forwarding, storage, returns handling, dispatch services, and the Global Fulfilment & Returns Plan.

By using any WarehouseAddress service, you agree to comply with this policy.

1. Purpose of This Policy

WarehouseAddress operates as a professional third-party logistics and address service provider.

This policy ensures:

  • Clear identification of shipment ownership
  • Proper traceability of goods
  • Compliance with courier and customs requirements
  • Protection of our facility, partners, and customers

Failure to comply may result in refusal, suspension, or termination of services.

2. Verified Account Holder Requirement

All inbound shipments must be addressed to the verified account holder.

The verified account holder’s full name must appear clearly on:

  • Shipping labels
  • Courier documentation
  • Commercial invoices
  • Customs declarations

Shipments addressed solely to third-party, unrelated, or unverified names may be refused or placed on hold pending clarification.

3. Use of Trading or Business Names

Where a trading or business name is used, it must clearly include the verified account holder’s name in the following format:

[Verified Full Name] t/a [Trading Name]

Example:
John Smith t/a Smith Supplies

The verified name must always remain visible and must not be replaced by a trading name alone.

WarehouseAddress does not accept shipments addressed solely to business names that do not include the verified account holder.

4. Third-Party Consignee Restrictions

WarehouseAddress services are provided exclusively to verified subscribers.

Inbound shipments addressed only to third parties without reference to the verified account holder may:

  • Be refused upon delivery
  • Be held pending written clarification
  • Be returned to sender at the customer’s expense

Where customers operate as resellers or distributors, all shipments must still clearly reference the verified account holder.

Repeated non-compliance may result in suspension or termination of services.

5. Ownership & Authority Declaration

By sending goods to WarehouseAddress, you confirm that:

  • You are the lawful owner of the goods or fully authorised to control and distribute them.
  • You are authorised to receive shipments under any trading name used.
  • The goods are not subject to dispute, restriction, or third-party claim.

WarehouseAddress does not assume ownership of goods and acts solely as a receiving, storage, and forwarding service provider.

6. Importer of Record & Customs Responsibility

For international shipments:

  • The customer remains the sole Importer of Record.
  • The customer is responsible for customs declarations, VAT, duties, regulatory compliance, and product classification.
  • WarehouseAddress acts solely as a receiving and forwarding agent.

WarehouseAddress accepts no liability for:

  • Customs delays
  • Inspections or seizures
  • Penalties or fines
  • Incorrect or incomplete declarations

Where required by law, we reserve the right to provide customer information to relevant authorities.

7. Compliance With Prohibited & Restricted Goods Policy

All customers must comply with our separate Prohibitions & Restrictions Policy, which forms part of your service agreement.

WarehouseAddress reserves the right to:

  • Inspect parcels where reasonably necessary
  • Refuse prohibited or restricted goods
  • Suspend services where violations occur
  • Report unlawful activity to relevant authorities

8. Warehouse Intake & Compliance Review

Upon receipt of inbound shipments, WarehouseAddress may:

  • Verify that the recipient name matches the verified account holder
  • Confirm correct trading name format (if applicable)
  • Review external parcel condition
  • Place shipments on hold where discrepancies are identified

Shipments that do not comply with this policy may be delayed pending written clarification.

9. Enforcement & Right to Refuse

WarehouseAddress reserves the right to:

  • Refuse non-compliant shipments
  • Suspend processing pending clarification
  • Return goods at the customer’s expense
  • Terminate services in cases of repeated or serious non-compliance

These measures are necessary to maintain operational integrity and regulatory compliance.

10. Liability & Indemnity

By using WarehouseAddress services, you agree to indemnify and hold harmless WarehouseAddress against:

  • Courier surcharges or penalties
  • Customs liabilities
  • Regulatory enforcement action
  • Third-party ownership disputes
  • Loss arising from misdeclared or improperly addressed goods

WarehouseAddress acts solely as a third-party logistics and forwarding provider and accepts no liability for the legality, compliance, or commercial use of goods handled.

11. Policy Updates

WarehouseAddress may update this policy periodically.

Continued use of our services constitutes acceptance of the current version.

Professional Commitment

WarehouseAddress is committed to operating a secure, compliant, and professionally managed facility.

These requirements ensure transparency, traceability, and protection for both our clients and our business.
